It is the ERP (Enterprise Resource Planning) software, a tool that not only helps the workshop to optimise and improve its processes, but also allows it to measure the results, which is essential in order to be able to improve.
There are many different types of management software, so it is not easy to choose the one that best suits the needs of the workshop. However, there are five requirements that can be described as “non-negotiable” when it comes to choosing one. They are as follows:
1. CLOUD PROGRAM
The fact that the program is in the cloud is advantageous to the workshop, as it can be accessed online from the comfort of home or anywhere else. Another advantage of this type of software is that it usually performs automatic backups. However, there is a clear, albeit rare, limitation: no internet connection, no software.
2. MEASURING PROCESSES AND RESULTS
One of the aims of workshop software is to be able to measure processes and results in order to improve them. It is therefore essential that it allows the necessary “ticks” to be carried out, such as the recording of employees’ arrival, departure and activity times. In this way, it can be measured to benchmark employee productivity and resources.
3. AGENDA MANAGEMENT
Good management software should make it much easier to plan the workshop’s work without succumbing to the “rush” of day-to-day business. Although there are alternatives such as Google Calendar or Trello, having the agenda built into the software makes it easier to work because you have everything you need in one tool.
4. SUPPORT THE CIRCULAR ECONOMY
It never hurts to have an ERP system that helps to optimise sustainable processes, for example by eliminating unnecessary paper waste. Sustainability is not a passing fad, but a fundamental part of the day-to-day business of any responsible and environmentally conscious company. The ability to sign orders on tablets or other devices also benefits the digitalisation process.
5. INTEGRATION WITH THE WORKSHOP’S DIGITAL ECOSYSTEM
The fact that the ERP is integrated and compatible with the rest of the repair workshop software is a requirement that the repair business owner should consider very positively. In the case of bodyshops, for example, integration with valuation platforms or paint scales will be essential.
